Custom Repeating Appointments

Recurring appointments are essential for clients on ongoing treatment plans — therapy sessions, chronic disease management check-ins, or regular follow-ups. Setting them up once in WithinEHR ensures continuity of care without manual rebooking each time.

How to Create a Repeating Appointment

  1. Go to the Schedule tab and click Create, then select Appointment.
  2. Fill in the client, service, clinician, location, and time as usual.
  3. In the Recurrence section, select your repeat pattern:
    • Daily, Weekly, or Monthly
  4. Set an end date or a maximum number of occurrences.
  5. Click Create Appointment to save the full series.

Editing a Single Occurrence vs. the Full Series

When you need to change a recurring appointment, WithinEHR will ask whether you want to update:

  • This event only — changes apply to the selected occurrence.
  • This and all following events — changes apply from this point forward.
  • All events — changes apply to the entire series.

Tips

  • Use recurring appointments for structured treatment protocols where session frequency is clinically defined.
  • If a client's schedule changes, edit only the affected occurrence rather than the full series to preserve the historical record.
