Customizing Calendar View
Customizing Calendar View helps you quickly switch between a big-picture overview of your practice and focused views for specific people, services, or locations, so scheduling feels simple instead of overwhelming.
In this guide, you’ll learn how to:
- Group your calendar by team, service, or location
- Color-code appointments by team or service
- View a specific team member’s schedule
- Switch between day, week, and month views
Group your calendar by team, statuses, or location
You can use filters to focus your calendar on the people, services, or locations you care about in the moment.
- Go to the Schedule tab.
- Open your calendar filters (for example, All clinicans, All locations, or All Statuses).
- To focus by team, choose one or more clinicians.
- To focus by status, select the appointment status or status category you want to see.
- To focus by location, pick one or more locations to see appointment distribution in all selected locations.
View a specific team member’s schedule
Filtering to a single provider’s schedule helps with managing workload, planning coverage, and answering “when are you free?” quickly.
- Go to Schedule or Calendar.
- Open the All team members / All clinicians dropdown or sidebar.
- Deselect the global option, then select just the team member you want to view.
- The calendar will update to show only that person’s appointments until you switch back to All team members.
Color-code appointments by team or service
Color-coding makes it easy to scan your calendar and understand what is happening without opening each appointment.
- From the Calendar, open the Color or Color by menu.
- Choose whether colors represent Status, Service, or Clinician/Team.
- Assign clear, distinct colors to key services or teams so they stand out.
- Use a simple color key so your team knows what each color means at a glance.

Switch between day, week, and month views
Different views help you zoom in on today or plan ahead for the weeks and months to come.
- From the main Scheduler or Calendar, use the Day, Week, and Month buttons at the top of the calendar.
- Use Day to manage today’s schedule and spot time-of-day conflicts.
- Use Week to see seven days side by side for rescheduling and staffing.
- Use Month to plan vacations, campaigns, and long-term booking patterns.
Tips and tricks
- Combine filters (for example, a specific clinician plus a specific location) when you want a very focused view of your resources.
- Pair color-coding with the Week view to quickly spot gaps, group similar services together, and build a smoother day for each clinician.
