Syncing your calendar lets WithinEHR and your external calendar work together so that personal and professional events stay aligned and double‑bookings are avoided.

Overview

When calendar sync is enabled, appointments created in WithinEHR can appear on your external calendar, and (depending on the sync direction you choose) external events can also block time in your EHR schedule. This keeps your online availability accurate across tools and devices, so clients only see times you are genuinely free.

Before you start

  • Decide which external calendar you want to connect (for example, Outlook, Google Calendar, or Apple Calendar).
  • Confirm you have the correct login credentials and that your practice’s time zone and operational hours are already set.

How calendar sync works

  • Connection: You securely connect WithinEHR to your external calendar provider using that provider’s sign‑in process, without sharing your password directly with the EHR.
  • Sync direction: You choose whether events flow one way (EHR to external calendar only) or two ways (external events can also block time in the EHR), based on how much control you want from each system.
  • Sync window: A sync time range determines how far into the past and future events will be kept in sync, so older history does not overwhelm your external calendar.

Steps to set up calendar sync

  1. Navigate to Settings in your EHR, then open the Scheduling or Calendar section.
  2. Find the Calendar Sync or Calendar integration area.
  3. Select your external calendar provider (for example, OutlookGoogle Calendar, or Apple Calendar).
  4. Choose your Sync direction (EHR → external only, or two‑way sync where supported) and your Sync time range.
  5. Click Start Sync (or Connect), then sign in to your external calendar account and approve access.
  6. Once connected, verify that upcoming WithinEHR appointments appear on your external calendar and, if two‑way sync is enabled, that external events are correctly blocking time in WithinEHR.

Tips and best practices

  • Periodically review your synced calendars to ensure events are updating as expected and that no sensitive information is exposed in non‑secure environments.
  • If you change your main external calendar or stop using one, return to Settings to update or disconnect that sync so your availability stays accurate.
