Payment Allocations and Unallocated Payments
Payment allocation ensures that every payment received is correctly matched to the invoice it covers. Unallocated payments are funds received that have not yet been applied to a specific invoice.
How Payment Allocation Works
When a payment is recorded in WithinEHR, it can be:
- Automatically allocated to the oldest outstanding invoice for that client.
- Manually allocated to a specific invoice of your choosing.
How to Allocate a Payment Manually
- Go to the Billing section.
- Find the unallocated payment in the client's billing history.
- Click Allocate next to the payment.
- Select the invoice(s) you want to apply the payment to.
- Enter the amount to allocate to each invoice.
- Click Save to confirm the allocation.
Resolving Unallocated Payments
Unallocated payments appear in your billing dashboard as a flag. Review them regularly to keep your accounts receivable accurate.
- If the payment was for a specific service, allocate it to the corresponding invoice.
- If the payment is an overpayment, apply the excess as a credit to the client's balance.
